Thompson Office – Full Time Position
Manitoba Keewatinowi Okimakanak Inc. is seeking an organized, motivated individual to work under the supervision of Executive Director. The successful incumbent will be responsible for providing comprehensive support to the Executive Director and keep them informed of upcoming commitments and meetings.
Duties and Responsibilities:
Coordinate and assist in the preparation of meetings that the Executive Director is to lead or chair
Ensure all minutes and decisions related to the responsibilities of the Executive Director be recorded and brought forward for review and follow up
Maintain calendar management for the Executive Director
Monitor meeting requests and correspondence is actioned daily
Ensure all incoming correspondence is recorded weekly
Maintain and follow up on key stakeholders/contacts information
Provide the necessary research; develop and/or establish an information base that is required for the preparation of resolutions, postings, proposals and other relevant documents of the organization
Maintain effective communications and provide the support as required to the Executive Assistant (Political Office) and Senior Managers.
Type all reports and correspondence as required
Maintain an effective electronic filing system
Maintain a daily log of events, tasks and other highlights of significance
Responsible for setting up and prepare meeting packages
Attend meetings and assist in preparing presentations, briefing notes and other correspondence.
Coordinate staff meeting, prepare summary of minutes and distribute
Review and highlight invitations for meetings and deadline for reports
Follow up and ensure directive from Executive Director
Maintain an updated digital contact list
Make travel arrangements and detailed travel itineraries
Reporting coordination of MKO programs activity and financial reports
Prepare visa receipts for submission to finance
Knowledge and Skills:
Minimum 3 years of experience in an office/administrative environment
Post-secondary education in business administration or equivalent
Ability to set priorities, handle multiple tasks simultaneously and meet deadlines
Strong verbal and written communication skills
Demonstrates strong initiative with the ability to work independently while functioning as part of a team
Proficiency with MS Office, Internet, E-mail and other business related computer software is required
Excellent organizational skills, attention to detail and follow through
A sensitivity and understanding of culture, language and issues relevant to First Nation communities
A valid class 5 driver license
A willingness to travel
Availability outside of regular office hours
Salary will commensurate upon experience and qualifications.
