About IPAC

The Indigenous Physicians Association of Canada (IPAC) provides knowledge for communities, national Indigenous organizations and health care providers, advocates for Indigenous peoples’ health, and acts as a support mechanism for Indigenous physicians, residents and students. We believe in elevating the voices of our Indigenous physician leaders to greater spheres of influence to impact system-level change for the care of Indigenous people. We strive to create a work culture that values collaboration, wellness, and cultural safety.

IPAC is an Indigenous national organization with non-profit and charity status. We work with Elders and Knowledge Keepers and value Indigenous ways of knowing, learning, and doing. We are currently in a significant growth phase as we add three new members to our team. This is an exciting time as we now have the resources to better respond to the expressed needs of our membership. Our 2021/2022 activities include onboarding and supporting our new team members, developing a national mentorship program, creating a framework for physician wellness and joy in work, continuing our work in anti-Indigenous racism in medical education and healthcare systems, supporting student-led initiatives, and coordinating networking and continuing education events.

The star of 2022 is the Pacific Regional Indigenous Doctors Congress (PRIDoC) that will take place July 2022 in Vancouver B.C. PRIDoC 2022 is an Indigenous-led space for Indigenous physicians, residents and medical students, health researchers, health professionals and allies. We gather around shared issues of concern related to the health and wellness of the many Indigenous communities and nations throughout the Pacific Region.

About the job: Event and Communications Coordinator

The person in this new role will hold two portfolios within IPAC: Event Coordination and Communications Coordinator.

Event Coordination
IPAC has the honour of hosting the 20th annual PRIDoC and we’re looking for an energetic new team member to coordinate this exciting event. PRIDoC 2022 is a multi-day event bringing together Indigenous doctors and medical learners from all over the world for academic, cultural and networking events. In addition to coordinating PRIDoC, the person in this role will have the opportunity to bring to life other events that would serve our members. Much of the planning of PRIDoC 2022 is already underway, allowing our Events and Communication Coordinator to hit the ground running with the support of the Director and Administrative Coordinator.

Given their role in PRIDoC 2022, the person in this position will be expected to attend planning committee and subcommittee meetings as well as be present for all aspects of the event July 9-15, 2022. The person in this role should be able to work independently and as part of a team. They will need to be able to manage the stress that comes from planning a large-scale event in the midst of regularly changing public health orders.

IPAC is growing and so are our communications needs! The person in this role will create and implement a communications plan with the support of the Director and the Administrative Coordinator. IPAC values wellness, including the opportunity to unplug. As such all team members will take turns monitoring our social media accounts.

Event and Communications Coordinator Roles and Responsibilities

Event Coordination
-Plans and coordinates IPAC events, including PRIDoC 2022, July 9-15, 2022
-Co-chairs PRIDoC planning committee meetings and attends subcommittee meetings
-Collaborates with PRIDoC subcommittee chairs to ensure that the planned activities are completed on schedule. Subcommittees include academic; fundraising; culture and protocol; social and entertainment; and student track.
-Collaborates with the Director to create and host events that connect Indigenous physicians and learners through webinars and workshops

Communications Coordination
-Creates a strategic plan for organizational communications that takes into account the diverse needs of our membership
-Updates the IPAC and PRIDoC websites and social media accounts when we have new and exciting information to share
-Curates social media platforms and schedules posts, in collaboration with the Administrative Coordinator
-Creates and distributes the eNewsletter
-Leads other communication projects as they emerge

Position Details
-Rolling application deadline October 14, 2021
-Ideal start date early to mid November
-One year, full-time, employment contract with potential for renewal
-37.5 hours/week
-2 weeks paid vacation (vacation blackout period: June 13 to July 22, 2022)
-Paid organization-wide closure for one week each summer. Date to be chosen by the team.
-4 paid Fridays of your choice off

-Ongoing home office stipend $30/bi-weekly
-Extended health insurance benefits after the 3 month probation period as well as a $200 annual spending allowance for health and wellness
-Employees are required to have access to an adequate internet connection and a workspace where the candidate is able to participate in video conferencing and online facilitation. Understanding that internet quality can be a challenge in remote areas, IPAC is committed to working with employees to compensate for costs associated with securing an adequate internet connection.
-If necessary, computer equipment will be provided.
-Due to the nature of event planning, some weekends and evening hours will be required.
-Some travel required, public health orders permitting.

What we are looking for in a Candidate
Potential candidates may not have everything on this list. We encourage applications from candidates who meet some of the qualifications and are excited about the job.

Must Haves
-A combination of experience and education around planning and coordinating events
-A combination of experience and education in communications, including developing communications plans,
-An understanding of particular barriers faced by Indigenous medical students, residents, physicians, and patients
-A familiarity with the TRC Calls to Action, the In Plain Sight Report and Joyce’s Principle
-A commitment to a culturally safe and respectful work environment
-An understanding of the importance of building and maintaining relationships with stakeholders and partners
-Excellent written and verbal communication skills in English
-Basic familiarity with Microsoft Office and Google tools
-Experience designing and facilitating Zoom webinars and meetings
-Confidence with learning to use new technological platforms and tools
-Experience managing social media accounts, including Facebook, Twitter, Instagram and LinkedIn
-Ability to attend meetings some evenings and weekends, especially leading up to PRIDoC 2022.

Nice to haves
-Strong written and spoken French language skills
-Experience with social media campaign coordination
-Experience with Wild Apricot
-Familiarity with medical education, healthcare, and/or the non-profit sector
